This Privacy Statement (“Statement”) explains how we collect, use, disclose, and protect Partner personal data (sole traders, company directors/owners, and staff added to your Partner account) when you apply to join, use our platform, accept jobs, and receive payouts.

1) Who we are & our role

CleanGoGo operates a UK marketplace that connects customers with independent cleaners/cleaning companies. We are the data controller for Partner personal data we collect and process to run the platform (onboarding, verification, allocation, payments, quality, compliance). Partners are independent businesses and act as separate controllers for the personal data they process in their own business outside our platform.


2) Data we collect about Partners

We collect the following categories (as applicable to a sole trader or business):

Identity & contact

  • Name, title, date of birth (where required), business name, trading name, addresses, email, phone, company number, VAT number.

Verification & compliance

  • DBS certificate details/status, right-to-work (if provided), public/employers’ liability insurance certificates (limits/insurer/expiry), copies of licences/permits if relevant, proof of address/ID where needed for fraud prevention.

  • We record confirmations/attestations you provide (e.g., “insurance kept in force”).

Financial & payout

  • Bank account/beneficiary info for payouts, invoicing details, transaction/payout history, adjustments, chargebacks.

Platform & performance

  • Availability/coverage areas, job accept/decline rates, completion rates, lateness/no-shows, customer ratings/reviews, complaint history, support tickets, audit logs.

Device/technical

  • IP addresses, device/browser info, login timestamps, security logs, cookies (see Cookies Policy).

Communications

  • Emails, chat/call recordings (where lawful), internal case notes, notifications you receive/open.

Marketing preferences

  • Consent status for Partner updates, product news, promotions.

Team members you add

  • Names, roles, contact details, DBS/insurance status (where uploaded), and activity within the Partner dashboard.

We do not require special category data except where you provide documents that may incidentally contain it (e.g., on identity/DBS). We ask you to redact non-essential sensitive information.


3) Why we process Partner data (legal bases)

We use your data for:

a) Onboarding & contracting (contract / legitimate interests / legal obligation)

  • Assess and verify applications, confirm identity, check insurance/DBS, set up your account and service area, conclude/perform the Partner Agreement.

b) Job allocation & operations (contract / legitimate interests)

  • Match and route bookings by location/availability/skills/performance; send job offers, reminders, changes and cancellations; coordinate access and notes with customers.

c) Payments & finance (contract / legal obligation / legitimate interests)

  • Process payouts (typically monthly), issue statements, handle adjustments/refunds/chargebacks, maintain accounting/tax records (HMRC).

d) Quality, safety & dispute resolution (legitimate interests / legal obligation)

  • Monitor KPIs and reviews; investigate complaints, damage, or misconduct; manage claims; enforce policies (e.g., non-solicitation); handle complaints escalation.

e) Platform security & fraud prevention (legitimate interests / legal obligation)

  • Authenticate logins, detect suspicious activity, prevent abuse, protect accounts and payments.

f) Communications (contract / legitimate interests / consent for marketing)

  • Operational messages (jobs, service updates, policy changes).

  • Marketing (news, product updates, offers) where you’ve consented or where PECR allows B2B communications—you can opt out anytime.

g) Analytics & product improvement (legitimate interests)

  • Service usage analysis, performance dashboards, forecasting, feature testing; we use aggregated/pseudonymised data where possible.


4) Automated decision-making & profiling (allocation, risk, quality)

We use rule-based and algorithmic tools to:

  • Match and prioritise jobs by geo-proximity, availability windows, service type, capacity, historical reliability, and customer requirements.

  • Apply location uplifts (e.g., in capital/major cities) and show expected durations/pricing tiers.

  • Flag risk (e.g., repeated no-shows, abnormal decline rates) for manual review.

You won’t be subjected to solely automated decisions that produce legal or similarly significant effects without a suitable lawful basis. You can request human review, express your viewpoint, or contest decisions via partners@cleangogo.co.uk.


5) Sharing your data

We share Partner data only as needed to run the platform:

With Customers (limited):

  • Your trading/brand name, first name (or company contact), ratings/reviews (where displayed), and necessary visit details (e.g., time window).

Payment & finance providers:

  • Secure payment processing, payouts, anti-fraud/AML checks, accounting.

Verification providers (where used):

  • DBS status checks or validation tools; insurance brokers (if you request introductions).

IT & infrastructure vendors:

  • Hosting, storage, ticketing, email/SMS/notifications, analytics, security monitoring.

Professional advisers & insurers:

  • Legal/claims handling, audit, accounting.

Law enforcement/regulators:

  • Where required by law or to protect rights/safety.

Business transfers:

  • If we restructure/sell assets, data may transfer under the same protections.

We require recipients to protect data under contract and applicable law. We do not sell Partner personal data.


6) International transfers

Some vendors may process data outside the UK. Where they do, we use appropriate safeguards (UK adequacy regulations, ICO-approved Standard Contractual Clauses, and supplementary measures). You can request details at legal@cleangogo.co.uk.


7) How long we keep Partner data

We retain data only as long as necessary for the purposes above and to meet legal/accounting obligations:

  • Core account, contracts & payouts: typically up to 6 years after termination (HMRC limitation periods).

  • DBS/insurance: for the validity period and audit trail, then securely deleted/redacted.

  • Reviews/quality metrics: retained while relevant to platform integrity; may be anonymised after account closure.

  • Security logs: typically 6–24 months, unless needed longer for investigations.

  • Marketing consents: until withdrawn (we keep a suppression record thereafter).

If multiple retention rules apply, we use the longest required period.


8) Your rights (UK GDPR)

You have the right to access, rectify, erase, restrict, object (including to direct marketing), and portability where applicable, and to withdraw consent at any time (for marketing or any processing based on consent). You can also complain to the ICO (www.ico.org.uk).

Note: If you object to certain operational processing (e.g., allocation/risk monitoring), this may limit your ability to receive jobs or remain on the platform.


9) Security

We use technical and organisational measures to protect Partner data, including: encryption in transit and at rest; role-based access; MFA on admin systems; monitoring and incident response; periodic reviews and staff training. No system is perfectly secure; please keep your credentials confidential and notify us promptly of suspected breaches.


10) Cookies & tracking

We use cookies and similar technologies for sign-in, security, analytics, and (with consent) marketing. See our Cookies Policy for categories, vendors, and preference controls.


11) Third-party links

Our dashboard may link to third-party resources (e.g., insurer or DBS provider). Each has its own privacy terms; we are not responsible for their practices.


12) Updates to this Statement

We may update this Statement from time to time. The latest version will be posted on our website with the effective date. Material changes may be notified via email or dashboard notice.
